Who We Are
This Privacy Policy explains how UTS Travels (Ultimate Solutions Travels FZE LLC), operating utstravels.ae and utstravels.com (“UTS Travels”, “we”, “us”), collects, uses, shares and protects your personal data when you visit our website, contact us, or book flights, hotels, UAE tours, visa services, Umrah packages or corporate travel through us. We are the controller of the personal data described in this policy.
We process personal data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL) and its implementing regulations, and other applicable UAE laws.
Information We Collect
- Contact and enquiry details: name, email address, phone or WhatsApp number, travel dates and any notes you send through our contact, enquiry or quote forms.
- Booking details: traveller names, dates of birth, nationality, passport or Emirates ID details, travel preferences, and special requests (for example dietary or accessibility needs, which you choose to share).
- Visa and Umrah documents: passport copies, photographs and other documents required by embassies, consulates, or the relevant authorities.
- Payment information: billing details and transaction records. Card details are entered directly with our payment providers and are not stored on our servers.
- Account details: if you create an account, your login details and booking history.
- Technical data: IP address, browser type, device information and pages visited, collected through essential cookies and our website security tools.
Why We Use Your Data and Our Legal Basis
We only process personal data where the PDPL allows it. Specifically:
- To perform a contract with you or take steps at your request before one: answering enquiries, preparing quotes, making and managing bookings, arranging visas and Umrah packages, processing payments and providing customer support.
- To comply with legal obligations: keeping financial and booking records, meeting visa, immigration and tax requirements, and responding to lawful requests from authorities.
- With your consent: sending you offers, newsletters and promotional messages. You can withdraw consent at any time (see below).
- To protect our website and customers: detecting fraud, spam and security threats.
We do not use your data for automated decision-making that has legal or similarly significant effects on you.
Marketing Messages
We only send marketing emails or WhatsApp messages if you have opted in, for example by ticking the separate marketing box on our forms. This box is never pre-ticked and is not required to make an enquiry or booking. You can unsubscribe at any time using the link in our emails, by replying STOP on WhatsApp, or by emailing info@utstravels.ae. Withdrawing consent does not affect processing that happened before you withdrew it.
Payment Processing
Payments made on our website are processed securely by third-party payment providers, including Stripe, WooPayments, and Buy Now, Pay Later services such as Tabby and Tamara. We do not store your full card details on our servers. When you choose to pay through Tabby or Tamara, your information is shared with them to assess and manage your installment plan, subject to their own privacy policies.
Who We Share Your Data With
We share personal data only as needed for the purposes above:
- Travel suppliers: airlines, hotels, tour operators, transport providers and Umrah service providers that deliver your booking.
- Visa authorities: embassies, consulates, visa processing centres and government portals.
- Payment providers: Stripe, WooPayments, Tabby, Tamara and banks.
- Service providers who act on our instructions: website hosting, email delivery, website security and business software providers, bound by confidentiality and data protection obligations.
- Authorities: where required by law or to protect our legal rights.
We do not sell your personal data.
International Data Transfers
Our website and some of our service providers are hosted on servers outside the UAE, including in the European Union. Travel bookings also require us to share data with suppliers and authorities in your destination country. When we transfer personal data outside the UAE, we do so as permitted by the PDPL, for example to countries with adequate data protection laws, under contractual safeguards with our providers, or where the transfer is necessary to perform your booking or with your consent.
Cookies
Our website uses essential cookies that are needed for it to work, such as keeping items in your cart, keeping you logged in, remembering your currency choice, and protecting the site from abuse. We do not currently use advertising or tracking cookies. If we add analytics or marketing cookies in future, we will update this policy and ask for your consent where required. You can also control cookies through your browser settings, though blocking essential cookies may stop some features from working.
How Long We Keep Your Data
- Enquiries that do not lead to a booking: up to 24 months, then deleted.
- Booking, invoice and payment records: at least 5 years after the booking, as required by UAE commercial and tax laws.
- Passport copies, photographs and visa documents: only as long as needed to process the visa or booking and handle related queries, after which they are deleted.
- Marketing data: until you unsubscribe or withdraw consent.
Your Rights
Under the PDPL you have the right to:
- Get information about, and a copy of, the personal data we hold about you.
- Receive your data in a structured, machine-readable format and have it sent to another provider.
- Correct inaccurate or incomplete data.
- Ask us to delete your data where we no longer need it or it was processed unlawfully.
- Ask us to restrict or stop processing your data, including for direct marketing.
- Withdraw your consent at any time.
- Object to decisions based solely on automated processing.
To use any of these rights, email info@utstravels.ae. We may ask you to verify your identity, and we will respond within 30 days. Some data may need to be kept where the law requires it or where it is needed for an active booking. If you are not satisfied with our response, you can lodge a complaint with the UAE Data Office.
Security and Data Breaches
We use appropriate technical and organisational measures to protect your personal data, including encrypted (HTTPS) connections, restricted staff access, website firewall and malware protection, and secure payment processing. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
If a personal data breach occurs that could affect your privacy or rights, we will notify the UAE Data Office and, where the breach is likely to put you at risk, inform you directly, as required by the PDPL.
Children
Our services are intended for adults. We only process personal data of children when a parent or guardian provides it as part of a family booking.
Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with a new effective date. Where changes are significant, we will let you know by email or a notice on our website.
